People, Potential, Possibilities (P3) is a registered charity and incorporates The Rugby Portobello Trust. This Privacy Statement describes what information is collected by our use of CCTV and how this information is used, as a person we work alongside.

It should be read in conjunction with our main Privacy Notice.

What information we collect

The CCTV systems that P3 operates across our services will only record images, we do not record audio. The CCTV systems will cover the outside of buildings and, in our accommodation services, will usually cover stairways, hallways and communal areas. Where our staff are required to work alone, or overnight, there may also be coverage of the staff office/s.

There will be clearly displayed signs to inform you that you are entering an area covered by CCTV.

Why we collect this information

Processing of CCTV images is necessary for P3’s legitimate interests for day-to-day security of our premises and property, and in protecting the health, safety and well-being of our staff and the people we work with. .

How long we keep information

CCTV footage will be stored in line with our retention policy (available upon request). In some circumstances, usually where required by law, the footage will be stored for longer. P3 will not retain the footage any longer than is necessary for the purposes for which it was collected.

Who we share the information with

P3 will not normally share CCTV footage with other parties. However, where an incident has occurred we may share footage with the Police and public authorities in order for them to investigate. We may also share footage with our insurers or legal advisers in specific cases.

All footage remains in the UK.

Your data protection rights

Because the images collected by CCTV are your personal data, under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information. P3 Charity will not usually charge for this service; however, we reserve the right to do so or to refuse the request if it is deemed to be manifestly unfounded or excessive in nature, or if other exemptions apply which mean that your data cannot be shared without a risk to the rights, freedoms or safety of others.

Right to erasure – You have the right to request that footage is deleted and P3 will consider these requests carefully, subject to any exemptions including in relation to evidence following incidents.
